Who we areNeeds legal review
This notice explains how JUPITER SOLUTIONS LTD, a company registered in England and Wales (number 15230488), registered office Avc House, 21 Northampton Lane, Swansea, Wales, SA1 4EH ("we", "us") handles personal information. We are the data controller for the information described here.
Questions or requests: info@jupitersolutionsgroup.com.
Our Information Commissioner's Office registration number will be added here.
What we collect
Enquiries and requests: your name, email address, phone number, business name and location, website, and anything you tell us in a form, on a call or on WhatsApp.
Customers: your business details, delivery address, the links and details you ask us to put on your table page (for example your Wi-Fi name and password), and your billing history. Card payments are handled by Stripe; we never see or store your full card number.
AI receptionist demo: your name, email, phone number and website, the outcome of the demo, and a short summary of your public website, which we delete after about 7 days.
People who tap a Jupiter table card: we record that the page was opened and which button was pressed, without names or contact details. If the venue offers a private feedback form, what you choose to write is passed to that venue.
Private feedback and loyalty sign-ups for a venue: we handle this information on the venue's behalf. The venue decides how it's used, and we act as its processor.
Booking a call: when you pick a time in our booking calendar, the details you enter go to HubSpot, which runs the calendar for us.
Visitor statistics: if you agree, Cloudflare Web Analytics counts which pages are visited. It doesn't use cookies or identify you.
Technical information: our hosting provider processes IP addresses and device information to deliver and secure the site. Where we use an IP address, phone number or email address to prevent abuse or repeat demo requests, we store a scrambled (hashed) version rather than the original.
Why we use it, and our lawful basis
To provide what you've signed up for, take payment and support you (contract).
To reply to enquiries, keep a record of our conversations and protect the site from misuse (legitimate interests).
To call you for the AI receptionist demo, send marketing emails if you ticked the box, and count your visit with optional visitor statistics (consent, which you can withdraw at any time).
To keep accounting and tax records (legal obligation).
Who we share it with
We use trusted providers who process information on our behalf: Cloudflare (website hosting, security, spam checks with Turnstile, our database, visitor statistics if you agree, and the summary for the AI demo), Stripe (payments), HubSpot (our customer records and booking calendar, held in its EU data centre), Resend (email, EU region), Retell AI and Twilio (calls and texts for the AI receptionist demo), BrightLocal (sending a venue's business details to online directories for the Local Presence Fix) and Perkstar (digital loyalty cards, for venues that use them).
When you tell us your venue's postcode after signing up, we look it up with postcodes.io (a free UK service built on Office for National Statistics data) to see whether we can visit in person. Only the postcode is sent, and postcodes.io doesn't receive your name or contact details.
If you ask for an AI receptionist demo, we read a few public pages of the website you give us and use Cloudflare Workers AI to turn them into a short summary for the call. The demo call is placed by Retell AI over Twilio. We keep the call's length and cost, not a recording or transcript.
If you message us on WhatsApp, the conversation is carried by WhatsApp (part of Meta) under its own terms, and we reply from our WhatsApp Business account. We note anything we agree in our customer records.
Some of these providers are based outside the UK, mainly in the United States. Where information is transferred, we rely on the UK Extension to the EU–US Data Privacy Framework or the UK International Data Transfer Addendum, as UK data protection law requires.
We never sell personal information.
How long we keep it
Website summaries for the AI demo: about 7 days.
Records of form submissions, demo attempts and emails we've sent: 12 months.
Records of payment notifications from Stripe: 90 days.
Customer and accounting records: 6 years after the end of the financial year they relate to, as tax law requires.
Enquiries that don't become customers: up to 24 months after we last spoke, unless you ask us to delete them sooner.
Your rights
You can ask for a copy of your information, ask us to correct or delete it, object to or restrict how we use it, ask for it in a portable format, and withdraw consent at any time. You don't have to pay to use these rights. Email us and we'll respond within one month.
You can also complain to the Information Commissioner's Office at ico.org.uk. We'd appreciate the chance to put things right first.
Changes
We'll update this notice when how we handle information changes, and show the date at the top.
